The Project Quote Formula

Quote = (Hours × Hourly rate) + Expenses + (Extra revision rounds × Cost per extra round), plus a rush fee percentage on the subtotal. Extra revision rounds = Total rounds minus Included rounds, or 0 when the total is not higher than the included rounds.

Hours is the estimated time for the whole project. Hourly rate is what you charge for one hour of design work. Expenses are the direct costs of this job, such as stock assets, fonts or travel. Extra revision rounds are the rounds beyond the ones your fixed price covers. The rush fee is a percentage added to the subtotal for faster delivery.

The formula follows the cost plus method that pricing guides use, which is labor plus direct costs plus a charge for revisions, with a percentage for rush work. It fits a logo, a brand identity or a brochure with a clear finish line. For open ended work, hourly billing fits better, and you can check the conversion with our hourly to salary calculator.

Each block in the quote is a line the client can understand, so nothing looks like a guessed number.

Worked Example: A Brand Identity Project

You quote a small brand identity project at 20 hours and $65 an hour, with $120 of expenses for stock photos and fonts. The client expects 4 revision rounds, you include 2, and each extra round costs $75. The client needs the work in one week, so you add a 25 percent rush fee.

  1. Labor = 20 hours × $65.00 = $1,300.00.
  2. Extra revision rounds = 4 minus 2 = 2 rounds. Extra revision cost = 2 × $75.00 = $150.00.
  3. Subtotal = $1,300.00 + $120.00 + $150.00 = $1,570.00.
  4. Rush fee = 25 percent of $1,570.00 = $392.50.
  5. Total quote = $1,570.00 + $392.50 = $1,962.50.
  6. Effective hourly rate = $1,962.50 divided by 20 hours = $98.13 per hour.

As a check, a simple logo at 8 hours and $50 an hour with a 30 percent rush fee gives $400.00 of labor, a $120.00 rush fee and a $520.00 total. That matches the FreelanceCalc example, where a $500 base plus 30 percent gives $650.

What Hourly Rate Should You Use

Your hourly rate is the biggest lever in the quote, because every extra hour is billed at that rate. The table below shows the 2026 market ranges that FreelanceCalc publishes by experience level.

Typical freelance graphic designer hourly rates in 2026, from FreelanceCalc
ExperienceHourly rateTypical work
Entry, 0 to 2 years$25 to $50Logos, flyers and social graphics
Mid-level, 3 to 5 years$50 to $85Brand identity and web design
Experienced, 6 to 10 years$85 to $135Identity systems, UI and UX, packaging
Expert, 10 years or more$135 to $225Brand strategy and creative direction

Specialists earn more than generalists. UI and UX work, motion graphics and packaging command premiums of about 25 to 45 percent. Use the effective hourly rate as a check. If it is below your usual rate, the quote is too low. To see what an hourly rate means as a yearly income, use our salary to hourly calculator.

Revisions and Rush Fees

Two revision rounds is the standard for most design projects. State the included rounds in writing, define one round as one consolidated list of changes, and set a price for each extra round. Unlimited revisions is how a 20 hour project becomes a 40 hour project at the same price.

Rush fees pay for rescheduling other clients and for compressed working hours. The usual premiums are 15 percent for same week delivery, 30 percent for 72 hour delivery, 50 percent for 48 hour delivery and 100 percent for same day delivery. Always show the rush fee as its own line. In our worked example the 25 percent rush fee adds $392.50.

Common Quote Mistakes

Counting only the design hours is the most common mistake. A logo that takes 8 hours to draw also needs briefing, feedback calls, revisions and file preparation, and a $500 fee spread over 15 hours of real work earns $33.33 an hour, not $62.50. Estimate every part of the project, and track your actual hours so the next quote is closer.

Forgetting expenses is the second mistake. Stock photos, fonts, printing and travel come out of your fee unless you list them, so add them as their own line at cost or with a small markup. Check the profit with our break-even calculator and the margin with our commission calculator when a platform takes a cut.

Finally, put the scope in writing before you start. State the deliverables, the included rounds, the price of extra rounds, the rush fee and the payment terms, and take a deposit of 30 to 50 percent before work starts.

Frequently asked questions

How do I calculate a freelance graphic design project quote?

Multiply your estimated hours by your hourly rate, add the project expenses and the cost of any rounds beyond the included rounds, then add the rush fee percentage on the subtotal. With 20 hours at $65 an hour, $120 of expenses, 2 extra rounds at $75 and a 25 percent rush fee, the quote is $1,962.50.

How much should a freelance graphic designer charge per hour?

Entry level designers typically charge $25 to $50 an hour, mid level designers $50 to $85, experienced designers $85 to $135 and experts $135 to $225. Specialists in UI and UX, motion graphics or packaging can charge about 25 to 45 percent more.

How many revision rounds should I include in a quote?

Two revision rounds is the standard for most design projects. State the included rounds in writing, define one round as one consolidated list of changes, and charge a set price for each extra round.

How much is a rush fee for graphic design?

Standard rush premiums are 15 percent for same week delivery, 30 percent for 72 hour delivery, 50 percent for 48 hour delivery and 100 percent for same day delivery. Show the rush fee as its own line on the quote.

What is the effective hourly rate on a project quote?

It is the total quote divided by the estimated hours. In the worked example, $1,962.50 divided by 20 hours gives $98.13 an hour, which is higher than the $65 base rate because the quote also covers expenses, extra revisions and the rush fee.

Should I charge hourly or per project for logo design?

Per project pricing fits logo and brand identity work, because the deliverable is defined and the price rewards your efficiency. Use hourly pricing for open ended work, consultations or retainers where the deliverable cannot be defined up front.
